This policy explains what data Kognix collects, how it is used, and the rights you have over your information.

1. Who we are

Kognix is a document-grounded AI assistant built and operated by K M Fazle. References to “Kognix”, “we”, “us”, or “our” refer to K M Fazle as the data controller. Questions can be directed to the LinkedIn profile linked in the footer.

2. Data we collect

  • Account data — email address, name, and OAuth profile information provided during sign-up via Clerk.
  • Content you upload — PDFs, notes, and URLs you add to your workspace.
  • Usage data — queries submitted, documents accessed, and feature interactions used to improve the service.
  • Technical data — IP address, browser type, and device information collected automatically via standard web logging.

3. How we use your data

  • To provide, operate, and improve the Kognix service.
  • To generate AI answers grounded in your uploaded documents.
  • To send product and security notifications (you may opt out of marketing emails at any time).
  • To comply with legal obligations.

We do not sell your data to third parties. We do not use your documents to train models without explicit consent.

4. Third-party services

Kognix uses the following sub-processors to deliver the service:

  • Clerk — authentication and identity management.
  • Pinecone — vector storage for document retrieval.
  • Anthropic / OpenAI — AI model inference.
  • Railway — cloud hosting and infrastructure.

Each sub-processor is bound by their own privacy policies and applicable data protection agreements.

5. Data retention

Your account data and documents are retained for as long as your account is active. You may delete your account and all associated data at any time from your account settings. Residual copies in backups are purged within 30 days.

6. Your rights

Depending on your jurisdiction, you may have the right to:

  • Access a copy of the personal data we hold about you.
  • Correct inaccurate data.
  • Request deletion of your data (“right to be forgotten”).
  • Object to or restrict processing.
  • Data portability.

7. Cookies

Kognix uses essential session cookies required for authentication. No advertising or tracking cookies are used. You can disable cookies in your browser, but core functionality will be affected.

8. Security

We use industry-standard security practices including encryption at rest and in transit, access controls, and regular security reviews. No system is completely secure; please notify us immediately if you suspect unauthorised access to your account.

9. Changes to this policy

We may update this policy periodically. Material changes will be communicated via email or an in-app notice at least 14 days in advance. Continued use of the service after the effective date constitutes acceptance.
